Answer:
If you arrive near or after midnight there will not be any Airport Rail Link available. The Meter Taxi (Public Taxi) sign up desks are on the first floor out at the curb. The Rail Link is located 2 levels below that first floor. There are elevators and down ramps available to lessen carrying luggage up and down stairs. If you use a taxi have a proper address for the hotel, even a copy of the hotel website page is helpful. If you use the Airport Rail Link to Ratchaprorop the hotel is not really that far but taking a meter taxi (only paying the meter fare) is very cheap and you would not have to lug your bags. Taking the taxi from the airport or taking the Rail Link and short taxi ride will save you maybe 150 baht using City Line. (You should have small bills and some coins for paying taxi rides.) The price you pay when taking a meter taxi in Bangkok covers everyone in the taxi not per person! Meter taxi rides will be cheaper than tuk-tuks too providing you only pay the meter fare. The rail link (SARL) is right under the terminal at the airport, just go down to the bottom floor of the terminal to get there. To get to the Ratchaprarop Statiion you'll need to take the City Line (as opposed to the Express Line) and the Ratchaprarop Station is very close to the Indra Regent Hotel. The Express Line does not go to the Ratchaprarop Station. Right now there is a promotional fare of 15 Baht per person on the City Line and the City Line fare will only be 45 Baht after the promotion ends, much less than a taxi for three people either way. A taxi from the Ratchaprarop Station to the hotel will probably be around 50 Baht or so, the driver will have to go a slightly roundabout way to get there as the Indra Regent is on a one-way street in the opposite direction from the station to the hotel. If you don't have much luggage, you could also walk to the Indra Regent from the station, it's only about a 200 meter walk. The best thing about the SARL is that you avoid the notoriously bad Bangkok traffic, taking the SARL could easily save you an hour or more when the traffic is bad. The SARL is not convenient to many locations in Bangkok, but in your case it's very convenient, and easier and cheaper than a taxi.

It is best to just go by taxi especially if you have never been to Thailand before as, surprisingly, not many people speak English very well (I have been there 5 times, so trust me, I know). Taxi fares average at about 45 baht (last time I went) per kilometre. The taxis are very trustworthy and they will take you directly where you need to go. Once you arrive at Indra, you can ask the hotel managers and receptionists for directions, maps and travelling adice. They are very willing to help. So really, as much research as you have done, don't take public transport on the first day, it is best to take a taxi and get advice and clarification from the local Thai.

If you are coming after 1 Jan it will be just as cheap to take a taxi than to pay for three people with luggage on the rail link. Also remember the rail link is open 6 am until midnight. Like the other guy said going by taxi you don't need to carry your baggage around. Cost for a taxi will be about 350 to 400 baht including taxi, tolls and airport fee and it will take you right to your hotel. Like I told you, take a taxi. I don't care what others say about the Rail Link, it's good if you know your way around, not carrying lots of baggage and not a first time visitor to Bangkok. Even if it's more money it's won't be that much more and the Indra Regent Hotel is know by all taxi drivers. For your own safety and comfort take the taxi.
The BTS airport link is accessible from the airport. It will cost 15 baht to ride (about $0.50 US) You will probably have to walk past people that try to get you into a taxi. Ignore them since a taxi will cost about 500 baht ($16 US) if they charge you a "special discount" rate. If you insist on taking a taxi, make sure that you get them to use the meter, which will save you about 400 baht. Still the BTS skytrain is much cheaper. Especially since some taxi drivers may consider your "very big luggage" as another person and charge you as such. Yeah, Ratchaprarop is the closest station, so use that one.
Hi Go to the Taxi meter counter on the 1st Level very easy to locate follow the crowds the escalators are very easy to use Then go the counter say where you want to go They give you a ticket and call you a meter taxi You pay the price on the meter plus toll roads (highway ) and a 50bht charge for the booking service Price overall will be about 400 -500bht you are going to a busy area for traffic Cheaper Easier time for travel about 40 minutes Train BTS will take you 15 minutes you then need a taxi to hotel and dragging your luggage around too hot for that Taxi will direct from airport to your hotel Look out for the Bayoke Tower hotel thats the area you are heading for bad for traffic ;)

The train station is in the airport itself. It is on the B1 (below 1) level. Easy to access, just follow the signs with the train on the blue boards all over the airport.
