What is the best software platform for tracking a PR (public relations) campaign?
-
I am looking for a simple, preferably web based app to use to track a PR (public relations) campaign. Essentially, I want to develop a list (1000+) journalists, bloggers, etc., email them personally (maybe with a template to combine personal and standard text). Then, I want to be able to track their email responses, document phone calls, and list the publications they write about my business. Ideally, it would be a cloud based (web) app, but desktop software is ok too. I don't mind paying for something that works effectively. I haven't used any CRM software so I would like to hear people's thoughts on Salesforce, Google Apps, ZOHO, Cision, etc. (from a public relations perspective). I want something fairly easy to use and learn.

We developed http://close.io to do just what you described. I just used it to manage my media contacts around our launch the other week. It has two-way email and phone integration, so you can send and receive phone and email right from the platform, while the app tracks all of your correspondence. There's both a Mac and Windows version, as well as a web-based version. You can import all of your contacts in a CSV in minutes. There's a free two week trial where you can do all of this and stress test it for a week at http://close.io

I would recommend using a combination of Toutapp and http://Launch.it for your PR campaign. Tout ($30) will help you with your email campaign to show you who viewed and clicked your emails. And you can use http://Launch.it (free) as your newsroom to publish and host your news with all the rich media you want and analytics to show you who viewed it, how long, where they came from and what they clicked on.

That is certainly something you can do with Zoho - using both our Zoho CRM and our Zoho Campaigns products. If what you want to do is just as you described, then you'll be perfectly fine. Plus, if you're using this only for yourself or a small team, you can even use the tools entirely for free at Zoho. That said, there are some other specialized, PR-specific tools out there that also allow you to monitor mentions in newspapers, send press releases, etc that you should also look at. It really all depends on what you want to do.

I cant comment on the other tools mentioned below but I can validate ZohoCRM is ideal for this. If you go for one of the standard plans you can build some simple custom fields for tagging the areas of specialism for each PR/Blogger etc. You can track the relationships between them and the Zoho Mail Addon will auto log every single email exchange with the contact within the record and track the conversations. It runs in the cloud, and is supported by mobile apps so if you are at a show/networking event you can easily quickly update records from your preferred mobile device and add new contacts easily. If you want full email marketing and social campaign management then you need the Zoho Campaigns add-on free for up to 2500 emails a month and then a choice of plans depending in whether you prefer PAYG or pay by number of subscribers. Finally whilst Zoho is simple at the basic levels and most users can do the basics themselves, as your needs get more sophisticated you may want some experienced help. Zoho has a strong partner network many of whom are willing to help new users by the hour - be sure to drop by the Zoho Partner and Certified Consultants Page to find a partner capable of meeting your needs
