  If you want to be able to read mail in both machines, you will have to configure the server to keep a copy when it sends it to outlook. Go to your web mail and configure this in the options box. Do you have a huge volume of mail? To take hours you either have thousands, very large attachments on hundreds or another problem. Nothing I can think of should take hours even if you are on dial up!
