How to not allow access if not logged in?

How can I allow multiple users to share an email address?

  • I'm looking to allow a team to share various email addresses e.g. if we use a separate email address for each client, and I need each team member to be able to access each email account - and stay logged in to multiple accounts at the same time.

  • Answer:

Lotus Notes provides this functionality, provided your Notes Administer has enabled it on your Domino infrastructure. It is called a "functional id" and it is a shared inbox, authenticated by the Lotus Notes userid versus an Access Control List defined by the inbox owner.

You can do this with Microsoft Exchange. There are multiple ways. One would be to setup a mailbox for the client and grant Send As and Receive As permissions to the team members. Then, your team members would simply open an additional mailbox in Outlook. You may need to setup an Outlook add-in to allow changing the "From" address to match the mailbox's email address. Another way is to setup a public folder with a dedicated email address and grant permissions to send as public folder.

We’ve created Front (http://www.frontapp.com) to let multiple people access one inbox (for example: support@, jobs@, info@, sales@ etc.). Front removes the messiness of multiple people working with one single email address. Here is how it works: - Add as many shares/team inboxes to Front, no matter if they are email, Facebook, Twitter, SMS or phone. - In Front you assign an email to someone instead of replying all. This clearly creates accountability and indicates who should take the next steps. - Forwarding an e-mail is replaced by a “comment” & "mention" function. That way you keep the conversation in one single place while collaborating internally before responding to the customer. - CCs and BCCs disappear and give way to a “share” feature. This gives others in your organization access to the original conversation. Front is used by sales teams to accelerate their sales cycle, by support teams to scale their support (with a human touch!), by product teams to manage feedback, by operations teams, and many others.

If you're using Gmail or Google Apps, try our popular product Hiver (http://hiverhq.com). With Hiver, you can share a set of labels between Gmail accounts. The good thing about this solution is that with this, users won't have to log into each other's accounts. Relevant emails from other accounts would automatically land up in their accounts by label sharing. You can combine Gmail filters and shared labels to build great workflows. Just write to us at , and we'd be glad to assist you with the setup. Just to add - we also have tonnes of other great features like Gmail contact sharing, notes for emails, email templates, send email later and email snooze which turn Gmail into a powerful work platform. And we also have a free plan. Look forward to hearing from you.

You can use Tandem (https://tandem.cc/) for this. Tandem allows to to create shared labels on Gmail/Google Apps. And each label has a unique email ID. Emails from external party /or inhouse teams  can be done directly to these email IDs making these mail land in the shared labels. This way any employee can have access to the required shared labels can have access to all the emails too.
