Microsoft CRM 2011: What is the best method to automate a user access report to be scheduled and sent via email?

  • I have a CRM 2011 installation. I just installed update rollup 6, so I have the user auditing feature and have been tracking access for a few weeks, accumulating data. For adoption analysis, I would like to have a weekly access report of user activity for the week. This would be sent to users who do not have administrative access, so ideally an Excel attachment or online report would work best. There does not appear to be a way to do this through the UI. The solution I have so far is to create an SSRS report that taps into the CRM database via stored procedure, and subscribe the user to the report. Before I do all this, is there something obvious I am missing? I would normally ask this on Stack Overflow, but would like to see what kind of response I get on Quora.

    There is nothing at all wrong with that approach. However you can build user activity reports within CRM itself identifying when a user logged on/logged off. For sales users you can create sales activity reports that track typical sales force automation tasks. Any CRM report can be scheduled to run and with an alert sent to those subscribed. There is always a danger of writing reports directly mapped to the CRM database tables...Microsoft doesn't promise that they'll remain stable across future releases. So use the CRM report writer if you want to future proof the solution. If you want to construct personalized activity reports then the SSRS solution scales much better than a native CRM/SSRS solution.
